Test and Input File Specifications
• DonorSearch understands that choosing a review service is a critical decision for any organization. We want to provide you with the most information possible to make you comfortable with your decision. Accordingly, we will conduct a representative test at no charge to determine what type of results you can expect to receive if you choose DonorSearch services.
• We recommend creating a representative test file of about 100-200 records. The records should be selected so the results of the test can be projected through the balance of the file. One method is to select everyone from your file whose first name begins with the same letter. For example select all the first names that begin with “B”s or all the “W”s. Some software applications also have a random record generator that will work as well. Please note that all input data and results are confidential and are not used for any other purpose.
• Input file - Produce a formatted file of your constituents that includes as many of the search and recommended fields below. Separate fields containing first name, last name, street address, city, state and zip is the minimum amount of information needed to review a record. The rest of the fields listed below are truly optional, however their presence will enhance the search process and hasten the use of the final results. We encourage you to provide at least some of the other fields if practical. Excel, ACCESS, Oracle, DBF, comma delimited and fixed.
• The file(s) should be sent via email to
bill@tedescoaffiliates.com
with the name of your organization in the subject line. FTP, diskette, or CDs are options. Please include an itemized list of the fields provided in the file.
• We will data mine the file and return your results using Excel. In a test environment, only printed results of the test file will be delivered to the client. The Excel data will not be delivered as part of the test procedure.
•Preferred file format
o Unique identifier - The unique identifier is a required field..
o Primary Individual - First Name
o Primary Individual - Middle Initial
o Primary Individual - Last Name, required
o City
o State
o Zip Code
o First Name for Second Individual (spouse?)
o Middle Initial for Second Individual (spouse?)
o Last Name for Second Individual (spouse?)
o Additional Fields Recommended for Analysis:
Total Giving Dollars, Total Number of Gifts , Last Gift Amount, Last Gift Date, First Gift Date,
Highest Gift Amount , Highest Gift Date
